Help To Understand SAP Licenses

Does anybody help me understand SAP licenses?

- Is it considered as concurrent users login in SAP system at given time or

- Total No of users/logon created using SU01 irrespective whether user has login or not.

- What about users deleted? Are they included in licensed users or not?

The SAP Licensing policy depends on the License type i.e

- mySAP Business Suite and

- R/3 Enterprise software

Very briefly, SAP license is based on named users. Each user has an ID and accounts for one licence whether he logs in to the system or not. The license can also be of two further types

- Professional
- Limited Professional (One Change Transaction and other display Transactions)

Then there are different licences for Employee Self Service Accounts also. I would recommend you read about SAP Licensing in detail based on your version of the software from the SAP Service Marketplace ( https://websmp104.sap-ag.de/licenseauditing )

Now to answer to your specific question in general:

- Is it considered as concurrent users login in SAP system at given time or Put it this way, if you have hundred Prof. Named licenses only those users can log-in who have purchased the license in their name, password sharing is considered as breach of the license contract.

So naturally only 100 specific users can log-in (Users on leave can use the substitute user license type to specify an alternate resource)

- Total No of users/log on created using SU01 irrespective whether user has log in or not.

It would not be appropriate to create more users than the number of licenses you have. Yes you can set the users as inactive, if they have resigned or any such reason. This does not include Test users or users of other types. However active users should be 100 at any time. (based on the number of licences... you can check this using the measurement document transaction)

- What about users deleted? Are they included in licensed users or not?

No they are not.

Again I would recommend you confirm this with your license agreement with SAP before coming to any conclusion.
